We Timed It: Here's Exactly How Long It Takes to Get a Custom Ribbon from Smith Ribbon & Bow

When you find a ribbon supplier you love, the first practical question is always: how long will this actually take? Not the optimistic version from a sales email — the real version, including the back-and-forth on color approval and the actual delivery time from a factory in Xiamen to your studio in London or your shop in Toronto.

We decided to just be upfront about it. Here is the honest, detailed answer for every stage from "I just sent an inquiry" to "the box just arrived."

Day 0: You Send an Inquiry

It doesn't matter if you use our website form, send a WhatsApp, or find us through Alibaba — every inquiry gets a response from a real human within 2 hours during our working hours in Xiamen. Not a bot, not an automated response with a catalog attached. An actual account manager who will be your point of contact for as long as you're a client.

That first response will include a quote with real pricing, a realistic timeline, and questions about anything we need to clarify. We'd rather ask upfront than assume and get it wrong.

Day 0–1: Color Matching

This is where most people are surprised by how fast things can move.

If you're choosing from our standard palette of 196+ colors, we can send you a high-resolution photograph of the actual ribbon swatch under controlled lighting within a few hours. For many buyers, this is sufficient to confirm the color and move straight to production.

If you have a specific shade in mind — your brand color, a swatch from a fabric you're using in your packaging, or even a screenshot from your mood board — we can work from that. We'll create a digital color proof showing how we'd match it, usually within 12 hours. The proof shows the ribbon under three different lighting conditions so you can see how it'll look in your studio, your shop, and your photographs.

If you want to hold an actual sample of the dyed yarn before committing to a full order, we can courier a physical swatch that arrives in most of Europe within 5 days. We recommend this step for any order where color is critical — branding projects, matching to a specific fabric, high-end packaging.

Days 2–15: Production

Once you've approved the color and confirmed your order, production starts immediately — usually within 24 hours of receiving your purchase order. We run our Xiamen facility around the clock, six days a week.

A typical order for a stock-width ribbon in an existing color takes 10 to 12 working days from production start to finished goods. A custom color adds 2 to 3 days. A completely custom weave construction (non-standard width, custom pattern) takes a bit longer — closer to 15 days.

Throughout production, your account manager can give you a status update at any point. We don't make you chase — if something unexpected happens, we tell you before you have to ask.

Days 15–22 (Air Freight): Your Ribbons Arrive

For most orders, we dispatch by air freight. Standard air transit time from Xiamen to the UK is 5 to 7 days. To the US East Coast or Canada, it's typically 6 to 8 days. West Coast US and Australia run a day or two longer.

You'll receive a tracking number the day we dispatch. The parcel is tracked in real time, and your account manager can follow up with the carrier on your behalf if anything looks unusual.

When the box arrives, it will contain your ribbon neatly spooled to your specified yardage, a packing list, and any certificates you need — GRS, Oeko-Tex, country of origin documentation. Everything is there; you shouldn't need to chase paperwork.

So: Total Time from Inquiry to Delivery

For stock colors and standard widths: 15 to 18 days from inquiry to delivery in Europe or North America.

For custom matched colors: 20 to 25 days, including the color proof and approval stage.

These are real numbers based on what our clients actually experience, not a marketing promise. During peak periods — particularly October through December — we recommend adding a buffer of 3 to 5 days, because freight capacity tightens globally and we want your expectations to be accurate.

What About Small Orders?

We genuinely welcome small orders. Our minimum for stock colors is 100 yards per SKU — so if you need 3 colors at 100 yards each, you can place an order for 300 yards total. There's no hidden "first order minimum" or requirement to buy a certain value to access our pricing. We treat a 100-yard trial order with the same care as a 100,000-yard commitment, because we know that the first order is where the relationship starts.

For custom colors, the minimum rises to 1,000 yards — that's simply the level at which the dyeing process works economically. We're honest about that rather than absorbing the cost and adjusting it elsewhere.

The Part Nobody Talks About: What If Something Isn't Right?

If your order arrives and something isn't what you expected — the color is off, a roll is shorter than specified, anything — contact your account manager immediately. We will arrange a replacement at no charge and dispatch it by express air if the error is on our end. We don't debate tolerances when a client can see a problem; we fix it and figure out the cause separately.

We've been doing this for over 20 years. We've had exceptions. How you handle exceptions is what builds a relationship — or ends one.

Ready to Start?

Send us your ribbon specification — material, width, color reference, and quantity — and we'll come back with a complete quote and honest production timeline within 4 hours of your message. No wait, no runaround.
